Video Transcript - Recalling or Withdrawing an Application

Screen 1: Title screen
Welcome to the video help series for the Energy Rating Product Registration System.

In this video, we are going to show you how to recall or withdraw an application in the registration system.

It is important to remember there is a difference between recalling and withdrawing an application.

Recalling an application allows you to call the application back to you, make changes and re-submit it for approval.

Withdrawing an application cancels the application and forfeits the registration fee you have paid.

Screen 2: Recall an application - Overview
First, we’re going to look at how to recall an application. Recalling an application comes in handy when you have already submitted an application, but there are changes you need to make.

To recall our application, we select the “Recall Registration” button in the Actions box on the right hand side of the page.

Screen 3: Recall an application – popup
We now see a pop-up window appear.

We enter a reason why we are recalling our application.

To confirm that we want to recall this application, we tick the box next to “Are you sure you want to recall this application?”.

Once we’ve entered the information requested, we select the “Confirm” button.

The pop-up page reloads, confirming we have successfully recalled our application.

To dismiss the pop-up, we select the “Close Dialog Box” button.

Screen 4: Recall an application – Notes & Change History page
We return now to our application and we are now able to edit our application.

Once we have finished editing our application, we select the “Return to Regulators” button in the Actions box.

The “Summary” page appears and we select the “Submit” button to re-submit our application to the Regulator.

And that is how you recall an application in the registration system.

Let’s continue and see how we can withdraw an application.

Screen 5: Withdraw an application without approval - Overview page
We go to the Overview page of our application.

When we withdraw an application, we can withdraw it ourselves without any approval, but only if the application has been submitted, but not picked up by an Assessment Officer.

If our application has been submitted and it has been picked up by an Assessment Officer, we need to request a withdrawal.

But first, let’s take a look at withdrawing an application without approval.

To withdraw our application without approval, we select the “Withdraw” button in the Actions box on the right hand side of the page.

A pop up window appears.

We enter a reason for why we are withdrawing our application.

We can also enter additional comments, if required.

We then tick the box next to “Are you sure you want to withdraw this registration?” to confirm that we want to withdraw our application.

We then select the “Confirm” button.

The pop-up page reloads, confirming we have successfully withdrawn our application.

To dismiss the popup, we select the “Close Dialog Box” button.

Screen 7: Withdrawn application
We can see now that our application has been withdrawn without requiring any approval from the Assessment Officer.

Let’s now take a look at what we need to do to request withdrawals for applications that have been submitted and picked up by an Assessment Officer.

Screen 8: Request approval to withdraw an application – Overview page
Once again, we begin on the Overview page of the application we want to withdraw.

As it is in the “Submitted” status, and it has been picked up by an Assessment Officer, we need to request a withdrawal.

To do this, we select the “Request Withdrawal” button in the Actions box on the right hand side of the page.

A pop up window appears.

We enter a reason for why we are seeking to withdraw the application.

We can also enter additional comments, if required.

We then tick the box next to “Are you sure you want to request a withdrawal for this registration?” to confirm that we want to withdraw our application.

We then select the “Confirm” button.

The pop-up page reloads, confirming we have successfully submitted a request to withdraw our application.

To dismiss the popup, we select the “Close Dialog Box” button.

Screen 10: Withdraw an application – Overview
We return to our application and can see that “Withdrawal requested” now appears in the status box under “Submitted”, indicating that our request to withdraw the application has been submitted and is waiting to be reviewed.

It is now up to the Assessment Officer reviewing our application to return it to us. They may choose to approve or decline the withdrawal request and they will provide a reason for doing so if they need to decline the request.

Screen 11: Withdrawn application
When the Assessment Officer approves the withdrawal, the status of the application will change from “Submitted” to “Withdrawn”, as shown on screen now.

And that is how you withdraw an application in the registration system.
