Video Transcript - Manage your Applicants’ Authorising Officers

Screen 1: Title screen
Welcome to the video help series for the Energy Rating Product Registration System.

In this video, we are going to show you to manage the Authorising Officers associated with your Applicant. This includes how to add or remove Authorising Officer access for a user.

Screen 2:  Dashboard
We begin on our Dashboard page.

We select “Applicant Management” from the toolbar at the top of the page.

Screen 3: Applicant Management
On the Applicant Management page, we can see a new toolbar with six tabs.

From this toolbar, we select “Users & Contacts”.

Screen 4: Users & Contacts – Add Authorising Officer access
On this page, we see two sections – User Accounts at the top of the page and Contacts at the bottom of the page.

In the User Accounts section, we see a table containing all of the current users associated with that Applicant. The table includes the user’s contact details, their role in the system and their membership status, which is either pending, active or inactive.

Authorised Representative is the default role for all users in an Applicant.

To change a user to an Authorising Officer, we select the “Manage User” link next to the user.

Screen 5: Manage Membership – Add Authorising Officer access
On this page, we can edit the details of the user’s membership. In this case, we want to change the user’s role to an Authorising Officer.

To do this, we go down to the second field, “Role”, which lists the user’s current role in the Applicant.

Currently, it says “Authorised Representative”.

So we select the drop-down menu and choose “Authorising Officer” instead.

We then select the “Save Changes” button at the bottom of the page to save the role change.

Screen 6: Users & Contacts – Changes saved
We return to to the “Users & Contacts” page.

A green message now appears confirming that the changes have been saved.

To close the message, we select the “X” button in the top right hand corner of the message and the message will disappear.

Screen 7: Users & Contacts – Remove Authorising Officer access
If we want to remove the Authorising Officer access from a user, we select the “Manage User” link next to the user’s name.

Screen 8: Manage Membership – Remove Authorising Officer access
On this page, we scroll down to the second field, “Role”.

From the dropdown menu provided, we select “Authorised Representative”.
We then select the “Save Changes” button at the bottom of the page.

Screen 9: Users & Contacts – Changes saved
We return to the “Users & Contacts” page.

A green message now appears confirming that the changes have been saved.

To close the message, we select the “X” button in the top right hand corner of the message and the message will disappear.

And that’s how you manage your applicants’ Authorising Officers in the registration system.
